Data Policy

Atlas Co., Ltd., (hereinafter referred to as “Atlas”) receives the personal information of users (hereinafter referred to as “users”) who use Confit (hereinafter referred to as “the Service”). Atlas shall handle the personal information of users properly in compliance with the Privacy Policy. Atlas shall also place great importance on compliance with the applicable privacy and data protection laws and regulations, including, but not limited to, the EU General Data Protection Regulation (hereinafter referred to as “GDPR”). If this data policy differs from that of the Privacy Policy, this data policy shall take precedence and be effective unless otherwise specified by Atlas.

1.1. Information provided by users when using the Service

(1) Account information

When a user registers for an account, changes the email address, or logs in to the Service, Atlas receives the data.

When a user registers for an account, registers, or updates the profile or logs in to the Service, Atlas receives the data.

When a user registers or updates participation registration information or subject registration information to participate in academic conferences, exhibitions, and events, Atlas receives the data.

(4) Participant information

When a user with administrator privileges registers or updates a participant information list in the participant management, Atlas receives the data.

(5) Program information, contents information

When a user registers, updates, or discloses program information, or when the user registers or updates content information, Atlas receives the data.

(6) Bookmarks and comments

When a user registers bookmarks for lectures at academic conferences, exhibitions, and events or gives comments on the lectures, Atlas receives the data.

(7) Personal data uploaded by other users

When a user uses the Service, personal data related to a third party other than the user may be registered, and Atlas may obtain the data.

1.2. Information Atlas collects automatically when users use the Service

(1) Use of the Service by users

Atlas automatically collects information on when and how users use the Service.

(2) Device information and connection information

Atlas collects information about the computers, tablets, and other devices that users use to access the Service.

(3) Cookies

2. Handling of data received by the Service

2.1. Purpose of use and legal basis

Atlas only uses the data received where it has a legal basis and when it is necessary to achieve the purpose of acquisition. The received data will not be handled beyond the scope of the purpose of use, except to the extent agreed by the user or permitted by applicable laws.

  1. To investigate, respond to, and provide support for inquiries concerning the Service (consent, performance of contracts, legitimate interests)
  2. To provide, maintain, protect, improve, and develop the Service (consent, performance of contracts, legitimate interests)

In principle, Atlas will not provide, disclose, nor share the data received by the Service with third parties except to the extent agreed by the user or permitted by applicable laws.
However, Atlas may provide, disclose, or share the data with third parties in the following cases:

  2. Organizers of academic conferences, exhibitions, and events in which the user participates
  3. Subcontractors with whom Atlas has signed subcontracting agreements that include confidentiality and security requirements
  4. When data transfer is required for the continuation of the Service due to a merger, acquisition, or business transfer or similar event
  5. When required by laws and regulations or when cooperation with public institutions is required

2.3. Data storage and security

  1. Atlas may, without the consent of the user, optionally back up the received data in preparation for the convenience of recovery in the event of a server failure or stoppage.
  2. Atlas will implement the necessary and appropriate measures to prevent the leakage, loss, or damage to the received data and to otherwise ensure the security of the data.
  3. Unless a longer retention period is required or permitted by law, Atlas shall keep the user data and personal information only for the period necessary to achieve the purpose outlined in this policy.

2.4. Transfer of personal information to third parties outside the EEA

If the personal information of users in the EEA has to be transferred internationally to a third country outside the EEA, Atlas will take the appropriate safeguards necessary for international data transfer.

Users that live in the EEA have the right to lodge a complaint with the competent supervisory authority regarding the processing of personal information.
